Provisions, Rules, and Regulations for Hall Renters

This document outlines the terms and conditions that all renters must adhere to:

General Provisions

  • Purpose of Use: The banquet hall is available for events such as weddings, Islamic gatherings, family celebrations, and community functions that align with Islamic values. Events contrary to Islamic principles (e.g., those involving alcohol, inappropriate music, or dancing) are strictly prohibited.
  • Booking Process: Reservations are made on a first-come, first-served basis after completing the application form and paying the deposit.
  • Rental Hours: The banquet hall is available between 10:00 AM to 10:00 PM. All events must conclude, and cleanup must be completed by the specified time.

Booking Requirements

  • Reservation Deposit: A non-refundable deposit of $400.00 is required at the time of booking to secure the reservation.
  • Cancellation Policy: In the event of a cancellation, a fee will be applied: 20% for cancellations made more than 24 hours before the event and 50% for cancellations made within 24 hours. Exceptions to this policy may be made for cancellations related to weather or emergencies upon approval from the board. The security deposit will be refunded within one week following the event.

Rules and Regulations

  1. Islamic Conduct:
    • All events must adhere to Islamic values and etiquette.
    • The dress code must align with modesty as prescribed in Islam.
    • Segregation (if required): For events involving both genders, appropriate seating arrangements must be observed per Islamic guidelines.
    • No alcohol, drugs, or prohibited substances are allowed on the premises.
  2. Facility Usage: Renters are granted access exclusively to the multipurpose hall, the attached bathrooms, and the kitchen. The upstairs prayer hall is designated solely for prayer and should not be utilized for any other purpose.
  3. Access Protocol: Access to the multipurpose hall should occur through the downstairs doors. Renters are encouraged to use the parking lot adjacent to the hall primarily.
  4. Event Conduct: The person completing the reservation form must ensure that order is maintained during the event, which includes supervision of the restrooms, Masjid grounds, and parking lot. An alternate person must be designated on the application to be present after the event to ensure proper cleaning is conducted.
  5. Decorations:
    • Decorations are permitted but must not damage the property—display of Qur’anic verses or decorations of an Islamic character.
    • Adhesives, nails, and staples are prohibited on walls, ceilings, or furniture.
    • All decorations must be removed immediately after the event.
  6. Kitchen Guidelines: Renters utilizing the multipurpose hall will have access to the kitchen, including a stove and microwave intended for warming food, not cooking. All food, beverages, and leftovers must be removed from the kitchen and hall at the end of the event. No additional cooking equipment may be brought in, and no utensils may be removed from the premises.
  7. Food and Catering:
    • Only halal-certified food and beverages are allowed.
    • External catering is permitted, but the Islamic center must approve the catering service in advance.
    • The kitchen area (if provided) must be cleaned after use.
  8. Entertainment Restrictions:
    • Activities such as music, dancing, and singing are prohibited on ICN premises. Participation in such activities may result in the cancellation of the agreement and removal from the premises.
    • Only permissible nasheeds (Islamic songs without inappropriate language) or Quranic recitations are allowed.
    • Loud or disruptive music is strictly prohibited.
  9. Setup and Cleanup:
    • Renters are responsible for setting up and cleaning the hall.
    • All garbage must be disposed of in designated areas.
    • Clean adequately before leaving.
  10. Capacity:
    • The banquet hall has a maximum capacity of 250 heads. The renter must ensure compliance with fire safety regulations and building codes.
  11. Supervision:
    • A representative from the Islamic center may be present during the event to ensure compliance with the rules.
    • Children must be supervised at all times.
  12. Damage and Liability:
    • The renter is responsible for any damage to the property, furniture, or equipment caused during the event.
    • The Islamic Center is not responsible for personal injuries or lost/stolen items during the event.
    • Please leave the facility clean or neglect to remove the trash.
    • Leaving the kitchen in disarray or failing to dispose of food and trash properly.
    • Exceeding the scheduled end time of the event.
    • Causing physical property damage (e.g., wall markings, broken items, etc.). ICN retains the right to seek compensation for repair or replacement costs if the security deposit does not cover the damages.
  13. Liability Disclaimer:
    • ICN accepts no liability for personal injuries or property damages on its premises due to snow, slippery conditions, or unforeseen accidents. ICN is also not responsible for any lost or stolen items.
  14. Indemnification Clause:
    • The renter agrees to indemnify ICN and hold its agents and board of directors harmless from any losses, costs, claims, or demands concerning any injuries (including fatalities) or property losses/damages that occur during the rental period.
  15. Smoking Policy:
    • ICN is a designated non-smoking facility. Smoking is strictly prohibited within the premises.
  16. Prohibited Items:
    • The possession of alcoholic beverages and illegal/recreational drugs is strictly forbidden on ICN premises. The discovery of such items will result in the immediate termination of the rental agreement and cancellation of the event without a refund. Any illegal activities will be reported to the appropriate authorities.
